Position Description:
The Store Reconciliation Officer is responsible for ensuring the accuracy and integrity of items sent to and received from projects. This role involves conducting regular reconciliations, analyzing discrepancies, and implementing corrective measures to maintain proper stock and store records.
Responsibilities:
  • Conduct regular stock and store reconciliations to ensure the accuracy of records.
  • Analyze discrepancies between items physically remaining from completed projects and stock and store records.
  • Collaborate with Field Administration Assistants, Storekeepers, and the Main Office stock and Store Team to resolve any discrepancies identified during physical checks.
  • Maintain detailed records of stock and store levels, adjustments, and reconciliations.
  • Prepare and present reports on stock and store discrepancies and reconciliation findings.
  • Keep accurate records of items issued to projects to minimize losses and discrepancies.
  • Assist the team in developing relevant policies and procedures as needed.
  • Support staff training on best practices for stock and store management.
  • Support the Stock Officer in the timely preparation and submission of stock transfer vouchers to the Finance Department.
  • Perform regular stock and store counts and reconcile physical with the system records.
  • Investigate and resolve discrepancies between recorded and actual stock and store levels.
  • Participate in the annual stock and store audit and support external and internal auditors as needed.
  • Review all leftover materials to determine quantities, conditions, and types.
  • Ensure all leftover materials are accurately recorded in the inventory management system.
  • Prepare a report detailing the remaining materials for future reference and decision-making.
  • Propose Proper storage for leftover materials in designated areas to prevent damage and facilitate easy access.
  • Communicate promptly with the Storekeepers at the field level to ensure they submit their monthly store position reports on time.
  • The Store Reconciliation Officer must strictly follow the organization existing security policies, procedures and daily instructions of the safety personnel.
  • Any other tasks as required and decided by the Supervisor
Education: Bachelor in Business Administration (BBA) is required and MBA Master in Business Administration is preferred
Experience: (3-4) years’ experience in stock & store management preferably with the International NGOs is required. 

Other qualifications’ an advantage:

  • Good communications, negotiation and analytical skills 
  • Good typing skills (English & Local Languages)
  • Good knowledge of the computer programmes specially in advance excel and MIS   
Languages: Oral & Written fluency in English, Pashto and Dari is required.
